This Privacy Policy explains how James Nicholson Training Services Ltd (company number 14871545, registered in England & Wales) (“we”, “us”, “our”) collects and uses personal data when you use The Landlord Alliance (the “Platform”). 1. Information we collect
- Account details — your name, email address and business/portfolio name.
- Data you enter — property, tenancy, financial, compliance, maintenance and document information you add to run your portfolio.
- Payment information — handled by our payment provider, Stripe. We receive confirmation of payment and limited details (such as the last four digits of a card); we do not store full card numbers.
- Usage and technical data — IP address, device and browser information, log-in times and activity, used for security and to improve the Platform.
- Community content and communications — posts, comments and messages you send us or other Members.
2. Personal data about your tenants and others
If you enter personal data about tenants, guarantors, contractors or other people, you are the data controller for that information and we process it on your behalf as your processor. You are responsible for having a lawful basis to hold it and for telling those individuals how their data is used, as required by UK data protection law. You should register with the Information Commissioner’s Office (ICO) if you are required to.
3. How we use your information
- To provide, operate and maintain the Platform and your account.
- To take payment and manage your Subscription.
- To provide support and respond to your enquiries.
- To keep the Platform secure and prevent fraud or misuse.
- To improve our features and content.
- To send service messages, and — with your consent or where permitted — occasional updates. You can opt out of marketing at any time.
4. Our lawful bases
We rely on: contract (to provide the Platform you signed up for), legitimate interests (to run, secure and improve our service), consent (for optional marketing), and legal obligation (for example accounting and tax records).
5. Who we share it with
We use trusted service providers who process data on our behalf, including: Stripe (payments), our email provider (transactional and onboarding email), our hosting provider, and our AI provider (see below). We require them to protect your data and use it only for the services they provide to us. We do not sell your personal data. We may disclose data where required by law or to protect our rights.
6. AI Adviser
When you use the AI Adviser, the question you ask (and relevant context) is sent to our AI provider to generate an answer, and messages may be reviewed to improve quality and safety. Please avoid including unnecessary personal or sensitive information in your questions.
7. International transfers
Some of our providers process data outside the UK/EEA. Where they do, we rely on appropriate safeguards (such as adequacy decisions or Standard Contractual Clauses) to protect your data.
8. How long we keep it
We keep your personal data while your account is active and for a reasonable period afterwards to meet legal, accounting and security obligations. You can ask us to delete your account and associated personal data, subject to any records we must retain by law.
9. Security and backups
We take reasonable technical and organisational measures to protect your data. However, no system is completely secure, and — as set out in our Terms — you remain responsible for keeping your own backups of important information.
10. Your rights
Under UK data protection law you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. To exercise these rights, email hello@thelandlordalliance.co.uk. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk) if you are unhappy with how we handle your data.
